About the Job The Coordinator, People & Facilities is a fundamental role responsible for supporting People & Facilities functions in ensuring the office environment is safe, functional, and reflective of Charlotte Tilbury Beauty Inc.'s culture for the North America team.
This position also provides advice or support to satellite locations where required. Building and sustaining relationships both internally and externally and administrative support are fundamental to this role. As a Coordinator, People & Facilities you will Magic Office Management Receive visitors at the front desk by greeting and directing them to their respective hosts. Support NY Magic Office team, serving as first point of contact for employee onsite office operational needs Monitor cleanliness, functionality, and organization of the NY Magic Office spaces and common areas Monitor Facilities Ticketing System, responding to office related inquiries in a timely manner, actioning requests, and escalating as needed to the Manager, Facilities & EHS Coordinate mail and package delivery distribution, ensuring recipients are notified in a timely manner Coordinate maintenance, repairs, and vendor services to ensure a clean, safe, and functional office environment Activate and deactivate key access cards for new joiners, leavers, and existing employees as needed Assist with office supply inventory management including mail, shipping, cleaning, and kitchen supplies, ensuring efficient day-to-day operations Assist with onboarding new vendors, maintaining vendor records and raising and monitoring Purchase Orders ensuring on time payment Support end of month shipping and courier cost allocation for NA team Ensure that high office standards are always met, identifying opportunities for operational improvement Environment, Health, & Safety Support Monitor activity throughout the office including front of office, conference rooms, main office area, back of office, and freight area to ensure a safe, secure, and welcoming environment Assist the Manager, Facilities & EHS in maintaining compliance with health, safety, and emergency preparedness standards at the NY Magic Office Support workplace safety and compliance initiatives at the NY Magic Office including safety drills by serving as Fire Warden and conducting regular safety checks Employee Experience Support Assist Manager, Facilities & EHS with championing a positive, inclusive workplace culture by curating thoughtful in-office experiences and events including breakfasts, lunches, happy hours, and special activations People Team Support Maintain organizational charts and update regularly Assist with onboarding experience for new hires Support local initiatives: events, trainings, and other logistics Oversee shipping, passenger car and courier needs for the team Support employer branding liaising with global team for company content job board websites Provide administrative support for team building and outing initiatives Offer advice on HR trends, developments, and technological advances – ensuring CT stays at the forefront and ahead of People practices Who you will work with Reporting to Manager, Facilities & EHS Requirements Highly organized, keen attention to detail, and able to prioritize workload effectively Pro-active, innovative, collaborative Able to influence and communicate your own point of view, strong communication skills Methodical, logical, organized and calm under pressure Positive ‘can-do’ attitude A demonstrable interest in working within beauty is preferred Charlotte Tilbury is a fast‑paced, dynamic and ever‑evolving environment where agility, ambition and a passion for excellence help our teams thrive.
